1. What information do we collect?

In short

what you give us, the order details Stripe shares with us, and basic technical data when you visit our website.

Information you give us

We collect the personal information you give us when you buy a template, book a call, fill in a form, sign up for emails or contact us. Depending on what you do, this can include:

  • your name and email address

  • your country and billing address, collected at checkout

  • your business name, your role and what your business does, for Customized and Built From Scratch orders

  • your phone or WhatsApp number, if you choose to share it

  • your answers to our intake forms and what you tell us during setup calls

  • the messages you send us

We do not process sensitive information, such as health data, religious beliefs or ethnic origin. Please keep the information you give us accurate and tell us if it changes.

Payment information

Stripe processes all our payments. When you pay, Stripe collects your card details and billing information directly. We never see or store your full card number.

Stripe shares order details with us, such as your name, email, country, the product you bought and the amount paid. You can read Stripe’s privacy policy at https://stripe.com/privacy.

Information collected automatically

When you visit our website, we automatically collect some technical information. On its own, it does not show your name or contact details. It can include your IP address, browser and device type, operating system, language, the pages you visit, the site that sent you to us, and your approximate location (country or city, based on your IP address).

We use this information to keep the website secure and working, and to understand how visitors use it. Some of it is collected through cookies and similar technologies (see section 6).

2. How do we use your information?

In short

to deliver what you bought, support you, run and improve our business, keep things secure and follow the law. We send marketing only with your permission or where the law allows.

We use your personal information to:

  • Deliver your order. We send you the Notion template link and anything else you bought.

  • Deliver Customized and Built From Scratch work. We use your intake answers, call notes and, with your permission, access to your workspace to build or adapt your CRM.

  • Manage orders and payments, including invoices and refunds.

  • Answer your questions and give you support.

  • Schedule and hold calls you book with us.

  • Send service messages, such as order confirmations, template updates and changes to our policies.

  • Ask for your feedback on the template or our service.

  • Send marketing emails, only if you agreed or where the law allows. You can unsubscribe at any time.

  • Measure and improve our website, our ads and our products.

  • Prevent fraud and keep our Services secure.

  • Comply with the law, including tax and accounting rules.

3. What legal bases do we rely on?

In short

we use your information only when we have a valid legal reason to do so.

If you are in the EU, EEA or UK

The GDPR and UK GDPR require us to explain the legal bases we rely on. They are:

  • Performance of a contract. To deliver the template or service you bought, and to take steps you ask for before you buy.

  • Consent. For marketing emails and non-essential cookies. You can withdraw your consent at any time. This does not affect processing that happened before.

  • Legitimate interests. To improve our website and products, understand how visitors use our site, measure our ads, keep our Services secure and prevent fraud. We rely on this only when your rights do not outweigh our interests.

  • Legal obligations. To keep tax and accounting records, and to answer lawful requests from public authorities.

  • Vital interests. In rare cases, to protect someone’s safety.

If you are in Canada

We process your information with your express or implied consent. You can withdraw your consent at any time. In limited cases, the law lets us process it without consent, for example to investigate fraud or to comply with a court order.

4. When and with whom do we share your information?

In short

we share your information only with the service providers that help us run Haru Motion, and only what each one needs. We do not sell it.

Service providers

These companies process personal information for us:

Provider

What they do for us

Their privacy policy

Stripe

Payments, invoices and fraud checks

Notion

Hosts the template you duplicate into your own workspace

Framer

Hosts our website and its forms

We also use an email service, scheduling and video-call tools, and analytics and advertising tools. Each one receives only the information it needs for its task.

Other situations

  • Business transfers. If Haru Motion is sold, merged or reorganized, your information may be transferred as part of that deal.

  • Legal reasons. We may disclose information when the law, a court order or a valid request from a public authority requires it, or to protect our rights, our customers or the public.

  • With your permission. We may share your information for any other purpose you agree to.

5. How do we handle your Notion workspace data?

In short

for Customized and Built From Scratch orders we may need access to your Notion workspace. We access only what you share, use it only to do the work, and lose access when the work is done.

  • Ready Made template. We never access your workspace. You duplicate the template, and everything you put in it stays in your own Notion account, under Notion’s terms.

  • You decide what we see. For custom work, we ask you to invite us only to the pages we need, rather than your whole workspace.

  • Confidential by default. Your workspace may hold information about your clients, team and finances. We treat it as confidential and use it only to build or set up your CRM.

  • No copying or reuse. We do not copy, export, sell or reuse your workspace data. We do not use it for marketing or to build other products.

  • Access ends with the project. When we deliver, we ask you to remove our access. We delete our project notes and files within 30 days of delivery, unless you ask us to keep them for support.

  • Your clients’ data. You are responsible for having the right to share your clients’ information with us. Under the GDPR and UK GDPR, you are the controller of that data and we act as your processor.

6. Do we use cookies and other tracking technologies?

In short

yes. Our website uses cookies and similar technologies to work properly, measure traffic and, when we run ads, measure their results.

Cookies are small files saved by your browser. Pixels and similar tools work in a similar way. We use three kinds:

  • Essential. Needed for the site to load, stay secure and remember your choices. These are always on.

  • Analytics. Show us how visitors use the site, such as pages visited and where they came from.

  • Advertising. When we advertise on social platforms, their pixels may record that you visited our site or bought from us. This helps us measure our ads and show you relevant ones. These platforms use the data under their own privacy policies.

Where the law requires it, such as in the EU and UK, we ask for your consent before using non-essential cookies. You can also block or delete cookies in your browser settings. Some parts of the site may then stop working properly.

If these technologies count as a “sale” or “sharing” of personal information under US state laws, you can opt out as described in section 13.

7. Is your information transferred internationally?

In short

yes. We and our service providers may process your information outside your country, including in the United States.

Haru Motion LLC is a US company, and we run the business from North Africa. Our service providers, such as Stripe, Notion and Framer, store and process data in the United States and other countries. These countries may have data protection laws that differ from yours.

When we transfer personal information from the EU, EEA or UK, we rely on our providers’ safeguards, such as the European Commission’s Standard Contractual Clauses. We protect your information as this policy describes, wherever it is processed.

8. How long do we keep your information?

In short

only as long as we need it for the purposes in this policy, unless the law requires longer.

Information

How long we keep it

Order and payment records

As long as tax and accounting laws require, usually up to 7 years

Support messages

As long as needed to help you, then up to 2 years after our last contact

Custom project notes and files

Deleted within 30 days of delivery, unless you ask us to keep them

Marketing email list

Until you unsubscribe

Website usage data

No longer than needed to run and improve the site

When we no longer need your information, we delete or anonymize it. If that is not possible right away, for example because it sits in a backup, we store it securely and stop using it until it can be deleted.

9. How do we keep your information safe?

In short

we use reasonable technical and organizational measures to protect it, but no system is completely secure.

  • Stripe, a PCI DSS certified provider, handles all card payments. Card numbers never reach us.

  • Our website runs over an encrypted HTTPS connection.

  • We limit access to your information to what is needed to serve you.

  • We protect our business accounts with strong passwords and two-factor authentication where available.

  • Access to customer workspaces is limited to custom projects and ends when the project is delivered.

No transmission over the internet or storage system is 100% secure, so we cannot guarantee absolute security. If a data breach affects your information, we will notify you and the authorities when the law requires it.

10. Do we collect information from minors?

In short

no. Our Services are for businesses and adults.

We do not knowingly collect personal information from anyone under 18. By using our Services, you confirm that you are at least 18. If we learn that we have collected information from someone under 18, we will delete it. If you think this has happened, contact us at contact@harumotion.com.

11. What are your privacy rights?

In short

depending on where you live, such as the EEA, UK, Switzerland, Canada or some US states, you have rights over your personal information.

These rights can include the right to:

  • access your personal information and get a copy of it

  • correct information that is wrong or incomplete

  • delete your information

  • restrict how we use it

  • receive it in a portable format

  • object to how we use it, including for marketing

  • withdraw your consent at any time

  • not be subject to decisions made only by automated means (we do not make such decisions)

How to use your rights. Email us at contact@harumotion.com. We answer within the time the law requires, usually 30 days. We may ask you to confirm your identity first. Using your rights is free.

Complaints. If you are in the EEA or UK and think we process your information unlawfully, you can complain to your local data protection authority. In Switzerland, you can contact the Federal Data Protection and Information Commissioner.

Withdrawing consent. If we rely on your consent, you can withdraw it at any time by contacting us. This does not affect processing that happened before, or processing based on another legal basis.

Marketing emails. You can unsubscribe at any time using the link in our emails, or by contacting us. We will still send you service messages about your orders.

Your template data. Our website has no user accounts. The data you put in Haru Motion CRM lives in your own Notion workspace, where you control it.

Cookies. You can block or delete cookies in your browser settings, and change your cookie choices on our website (see section 6).

12. Do-Not-Track signals

Some browsers can send a Do-Not-Track (“DNT”) signal to say you do not want your online activity tracked. There is no agreed standard yet for how websites should respond to these signals. For that reason, we do not currently respond to DNT signals. If a standard is adopted that we must follow, we will update this policy.

13. Do United States residents have specific privacy rights?

In short
